Clinic management software
for aesthetic clinics.
Your clinic generates data every day. BookClinic helps you understand what it tells you.
Your booking system shows appointments. Your phone system shows calls. Marketing shows interest. Your team knows the patients and guides them through each stage of care. But only when you bring this information together do you see the whole picture.

Who’s seeing patients today, and where?
From the numbers you go down to a single day. Each specialist has a column with their working hours and appointments, and each appointment shows the service, the patient and its status, from booked to completed. You can view the same day by workstation, too.

Is that slot really free?
Reception books an appointment in four steps: patient, service, time, summary. Patients can also book online, straight from the clinic’s website. The booking reserves the specialist, the workstation and the equipment at once, so two appointments never land on the same resource. The patient gets an SMS and email confirmation and a reminder automatically.

What’s happening with your patients?
Every appointment goes into the patient record, and with it the whole relationship: visit history, the active treatment plan and its progress, packages with the number of visits left, the care coordinator, team notes and consents. Reception sees what you see, including during a call with the patient.

Enquiries
Where do new patients come from?
New patients start with an enquiry. Lead forms from your Facebook and Instagram ads arrive in BookClinic automatically, and every enquiry has a source, a value and a stage, from first contact to a completed consultation. You see which campaigns bring patients in for consultations.
Growth can start with the patients you already have.
You don’t always need more patients.
Every month, your clinic invests in winning new patients. Yet some of its untapped potential is already sitting in its own patient base.
These are patients who:
Came in for a consultation
Your clinic today Following up after a consultation depends on someone remembering to.
Were due to come back
Your clinic today Return visits depend on reception’s memory and a notebook.
Dropped out of a journey they had started
Your clinic today You only notice once the patient is already at another clinic.
Never heard from you again
Your clinic today The task stays in reception’s head or on a sticky note.
Have been outside regular care for a long time
Your clinic today Nobody knows how many there are, or for how long.
BookClinic lets you see them. And plan the right next step.
First, see what you already have. Then decide where to grow.
15 years of working with clinics turned into one intelligent system.
BookClinic was created by WW Partners and Przestrzeń Świadomego Biznesu.
Its logic grew out of years of work with the owners, managers and teams of medical aesthetics and beauty clinics.

Akademia Biznesu
Strategy · Management · Sales · Clinic growth
Shows what to look at in a clinic.
From Akademia Biznesu, BookClinic takes a view of the clinic as a whole and the logic of the patient journey.
It shapes how the system looks at the patient’s path and at the points where a clinic can lose continuity, conversion or the chance to take the relationship further.

Efektywna Sprzedaż
First contact · Consultation · Decision · Ongoing communication
Shows how to guide a patient to a decision.
From Efektywna Sprzedaż, BookClinic takes a standard for guiding the patient from first contact to the next decision.
This approach is behind the analysis of call quality, keeping track of what happens after a consultation, and planning your team’s next steps.

Slow Medicine
Relationship · Patient Experience · Responsibility · Long-term care
Shows how to build a relationship patients want to come back to.
From Slow Medicine, BookClinic takes the view that a patient is not a single visit but part of a long-term relationship with the clinic.
That is why the system looks beyond the booking or the treatment performed, at the continuity of the patient’s experience and their journey ahead.
Three perspectives. One system.
BookClinic brings them together in Clinical Intelligence: a system that helps you see your clinic as a whole and make better decisions every day.
You don’t need to know any of this to use BookClinic.
It’s built into the way the system looks at your clinic and your patients.
Onboarding led by our team.
Rolling out the system also covers the way your team works. We don’t leave you alone with a tool. We go through the first weeks together.
We move your patient base
Your patients and their visit history come over to BookClinic.
We train your team
A full set of onboarding materials, tutorials and training videos, built on proven standards.
We set up the journeys
We set up stages of care, return visits and follow-up after a consultation to match your clinic’s standard.
New staff reach the required level of skill faster, and your standard of service doesn’t depend on any one person.
Start with a conversation. Tell us how your clinic works, and we’ll show you what BookClinic could look like in it.
Got a question? Here are answers to the most common ones.
Yes, and more. BookClinic has an appointment calendar, online booking from the clinic’s website, patient records, and SMS confirmations and reminders. But it is Clinical Intelligence for your clinic: it brings together information from different areas of the business and shows the owner what’s happening with patients, where their journeys stall and what to do next.
Medical aesthetics clinics, cosmetology practices and dental practices. Anywhere patients come back and the relationship lasts longer than a single visit.
Yes. Our team runs the onboarding: we move your patient base, train your team and set up patient journeys to match your clinic’s standard.
We do. We work with your whole clinic team and make sure everyone understands how to use the system. Nobody is left to figure it out alone. All of this is included in the onboarding fee.
Onboarding also covers the way your team works. Your team gets a full set of onboarding materials, tutorials and training videos, plus a working standard available in the system. New staff reach the required level of skill faster.
Patients don’t need to see the technology. They should feel that the clinic knows them, remembers them and guides them.
Yes. Your clinic remains the controller of your patients’ data. We act only as a processor: we process the data solely on the clinic’s behalf and only as far as the system needs to work.
Yes. BookClinic complies with the GDPR. Patient data is stored on servers in the European Union, in Frankfurt.
With a conversation. Book a call. We’ll get to know your clinic and show you how BookClinic could work in it.
You already have the data. Now it’s time to see what it tells you.
BookClinic brings together information about patients, journeys, consultations, calls and return visits into one clear picture.
So you know: what’s happening in your clinic, where attention is needed and what to do next.
